The right riders in the right classes.
Riders only see the classes they're eligible for. You see who has entered, what they've paid, and what still needs a look.
Rulebook or custom classes
Choose standard classes or create your own. Set a fee and a capacity per class, or one fee for the whole event.
Automatic eligibility
Age, gender, grade, ride-up rules and discipline are checked when a rider enters. Age is worked out from date of birth, not typed in.
Grading & grade reviews
Set grading standards for the club. Riders request grade changes in the app and you approve them from one queue.
Capacity & waitlists
Event or per-class limits. When a spot opens the next rider gets a 48-hour offer, automatically.
Admin entries
Add a rider yourself for phone entries. Send a payment link with 48 hours to pay, or mark the entry free of charge.
Entry lists & exports
Every entry with classes, bike and transponder. Export the file your timing and scoring system needs. Full audit trail of changes.

You set the fees. We move the money.
Entry fees are set by each club. Pedal Pass adds a flat fee for each rider entered: 50c for competitive events and 20c for non-competitive events. Free-entry events have no rider fee. Pedal Pass charges clubs a 3% commission on event revenue, deducted before payout. Payments run through Stripe and land in your club account 14 days after the event.

Contact Entries sends email and push to everyone following the event, to all entrants, to one class, to the waitlist, to riders with a payment pending, or to a single rider. Before the event and on race day. Post to the event feed and anyone following the event gets it on their phone.
- Supplementary regulations, parking, weather calls
- Reusable templates for the messages you send every round
- Event feed and activity log, so there's one source of truth
Roles filled before race morning.
Pick roles from the library or name your own, split them into sessions, and let parents sign up from the event page. Invite-only roles for officials. Coordinators see what's covered and what isn't.
- Role library, sessions and templates you reuse each round
- Volunteer hub with sign-ups, invitations and history
- Share a public volunteer link for non-members

Want a walkthrough before you sign up?
Tell us about your club and the events you run. We'll show you how Pedal Pass handles entries, classes, volunteers and payouts for them, and answer any questions about plans and fees.
Pedal Pass uses a 10-step guided event creation process that takes you through the information required to set up an event.
Each step guides you through the required settings, including event details, classes, pricing and entry settings. You can save your event as a draft at any stage and return to complete or update it later.
Once the required steps are complete and you are happy with your event, you can publish it and open entries to riders.
Pedal Pass allows you to control how many riders can enter your event.
You can set an overall event capacity as well as individual capacity limits for specific classes. Pedal Pass tracks entries as they are received and automatically prevents further entries when a capacity limit is reached.
If a waiting list is enabled, eligible riders can join the waiting list when the event or class reaches capacity.
Open My Events, select your event and go to the Entries section.
You can view and manage the riders entered in your event, including their entry details, classes and payment status.
Pedal Pass keeps your event entries in one place, making it easy to monitor entries and prepare for your event.
Yes. Event organisers can edit a rider's entry when required.
This can be useful for correcting entry information, changing classes or assisting a rider with their entry. Changes made by an organiser are recorded in the event's entry history.
Pedal Pass allows organisers to create a library of volunteer roles that can be reused across events.
You can create roles with your own names and descriptions and specify how many volunteers are required for each role.
Roles can also be assigned a time or session, such as 8:00 am–10:00 am or Practice, making it clear to volunteers when they are required.
